- We employee Behavior Analysts and Behavior Technicians to provide ABA therapy
- We focus on supporting rural families in Southeast Missouri and Northeast Arkansas
The Clinic Operations Coordinator (COC) will work on-site at our Kennett (MO) clinic and report directly to the Clinic Director. The COC will communicate frequently between the clinical, administrative, and billing teams. Our ideal candidate will have experience coordinating a fast-pace clinical environment, exhibit strong leadership skills, and exhibit strong inter-personal communication skills.
The COC's job responsibilities will include:
Scheduling
- Coordinate with billing manager for
day-to-day changes / needs
- Coordinate with billing manager on
need to call parents for early pick-ups / short staff
- Ensure technicians leave for break
and return from break on-time
- Communicate available supports each
hour for technicians (e.g., who can help with bathroom witnessing)
- Ensure staff are following the
clinic schedule
Human Resources- Monitor staff to ensure safety
policies and procedures are followed
- Provide feedback to staff and
document with director about violations of safety and policies procedures
- Maintain notes about staff
professionalism and performance to share with the director for staff
evaluations
- Maintain professional, supervisory
boundaries with all employees
- Greet interviewees, provide them a
tour, and assist with observing their interactions with clients and staff
Billing
- Communicate to billing manager any
staff reports of profiles not linking / appointments not loading correctly
- Ensure staff are supported and
their linking / appointment issues are resolved
Client Intakes
- Provide families with approved
tours of the building
- Greet families at time of
assessment
- Escort family to the assessment
area, identify where the restrooms are available, and answer any questions
while the family is waiting for the assessment to begin
- Coordinate any questions /
information provided by the family to the assigned BCBA and Director
- Greet family on their first day of
treatment, ensure families meet the staff schedule on the first day, ensure to
communicate open door policy to family
General Administrative Duties
- Answer phone calls from Billing
Manager, Director, and/or BCBA
- Provide bathroom witness to
technicians when clients require clothing or pull-up/diaper changes
- Monitor clinic inventory levels and
complete inventory orders
- Maintain log of client’s inventory
and communicate with families about needs
- Maintain bathroom inventory levels
(e.g., refill paper towel holders, soap)
- Check client temperature when
requested by staff
- Provide basic first-aid kit to
staff when clients have a scratch / paper cut
- Complete client incident reports
and coordinate with billing manager and director to ensure family is notified
- Complete staff incident reports and
coordinate with the director to ensure appropriate workman’s comp procedures
are followed
- Other administrative tasks as
assigned by the director
Cleanliness
- Ensure snack area is organized and
cleaned
- Pick up programming stimuli to
place in “put away bin” for team leads to put away in correct programming file
cabinets
- Ensure each therapy room is
organized and items are placed in their labeled storage bins
- Remove broken items and report to
director if the items need to be replaced
- Dust each therapy room one time per
week
- Vacuum carpets at the end of each
day
Safety
- Walk clinic multiple times per
hour to evaluate for safety concerns (e.g., wet floors, chairs in
walking areas, toys that can be tripped over, outlets requiring child proof
covers, drinks sitting out in client reach)
- Ensure doors are closed and magnets
are catching on external doors
- Ensure walk-ways are lit and remind
staff to have lights turned on for paths to exits
- Judicially and assertively tell
technicians when an activity is not safe for a client based on their
developmental skills – ensuring the activity is changed
- Conduct fire, tornado, and
earthquake drills based on department of health guidelines
- Enter results of drills into the
drills tracker
- Ensure all clients are picked up by
approved guardians and all clients are departed from the
building before the clinic closes at the end of the day
- Ensure individuals who are not
approved or cleared to be in the building remain outside the building to wait
for their questions to be answered

Pay: $35,000.00 to $64,999.00 per YEAR
